Handlark

Software for service businesses

Keep work moving.

Handlark is software that gives every job a clear next step. It connects the enquiry, the quote, the booked job, the invoice and the payment in one record.

The core product runs without any email or payment service connected.

Who it is for

For any business that does work for customers

If you quote, do the work and get paid, Handlark fits. It is not built around one trade. You pick a starting category when you set up, and the workflow is the same for every business.

Starting categories include

  • Cleaning
  • Maintenance
  • Repair
  • Consultancy
  • Creative services
  • Anything else you do for customers

These are setup examples, not limits.

Sell products alongside your services? Add goods to a quote or invoice as line items with a quantity and a price. Handlark does not track stock or run an online shop.

The gaps

Work slips through the gaps

Enquiries sit in an inbox. Quotes live in a document. Jobs live in a calendar. Invoices live somewhere else. Every handover is a place for something to go missing.

  • Unanswered enquiries

A request arrives and nobody knows it is still waiting for a reply.

  • Quotes nobody chases

A quote goes out, the customer goes quiet, and it is forgotten.

  • Finished but not invoiced

The work is done. The invoice is not. The money waits.

  • Overdue and unnoticed

An unpaid invoice stays unpaid until someone happens to look.

Handlark keeps every step in one chain and shows you what needs you next.

The workflow

One job, one connected record

Each step hands its details to the next, so nothing is lost between them. Here is the whole chain.

  1. Step 1: Enquiry

A request comes in. You see who asked, what they want and whether you have replied.

  2. Step 2: Customer

Their details are saved once. Everything you do for them is kept in one place.

  3. Step 3: Quote

Build a quote from the services and goods you have saved. Handlark calculates the totals and tax.

  4. Step 4: Approval

Your customer opens a private link and accepts or declines. You see the answer straight away.

  5. Step 5: Job

An accepted quote becomes one job. Give it a date and someone to do it.

  6. Step 6: Completed work

Tick off the checklist and mark the job complete.

  7. Step 7: Invoice

Create an invoice from the finished job. Once issued, it is locked, so the record stays reliable.

  8. Step 8: Payment

Record payments as they arrive, including part payments. You always see what is still owed.

  9. Step 9: Follow-up

Anything waiting on you or your customer appears in one list, so it gets done.

Each step carries the details forward. You do not type the same thing twice.

What is in it

Everything a job needs, in the order it needs it

Nine parts of one product. Each one hands its details to the next, so you never type the same thing twice.

New software, firm rules

Handlark has not launched yet. This page has no customer logos, reviews or results because there are no customers to quote. What it can show you is how the software behaves and the rules it keeps.

What it enforces

What Handlark will not let go wrong

  • Issued invoices stay as issued

Once issued, an invoice is a locked snapshot. Corrections go through a void or a credit note, and both stay in the history.

  • Totals are worked out on the server

Discounts, tax and totals are calculated by Handlark, never taken from what a browser sends. Money is stored in whole minor units, such as pence.

  • One business never sees another's records

Every record belongs to one business, and the database enforces it. Access comes from your membership of that business, not from anything a browser claims.

  • One accepted quote makes one job

If a customer, or two people, press accept at the same moment, you still get a single job.

  • Roles are enforced, not just hidden

Owner, Manager, Team member and Viewer. The server refuses what a role may not do, even if someone bypasses the screen.

How it runs

Three stages, nine steps

Every job moves through the same three stages.

  1. Stage 1

    Win the work

Capture the request, save the customer once, send a quote and get a clear yes or no.

    • Enquiry
    • Customer
    • Quote
    • Approval
  2. Stage 2

    Do the work

Book the job, assign it, work through the checklist and mark it complete.

    • Job
    • Completed work
  3. Stage 3

    Get paid, then look back

Invoice, record payments and follow up what is outstanding. Reports then show what you invoiced and what you collected.

    • Invoice
    • Payment
    • Follow-up

Not results — facts

Facts you can check

There are no customer results to show yet, so here is what the software does. You can test each of these once you have an account.

Connections

Works on its own. Connect a service when you have one.

Handlark needs no outside service to run your business. Email and online payments are optional. Each only works once you connect it, and until then Handlark says so on screen.

  • Email

    Optional connection

Connect an email service to send quotes, invoices and reminders. Until then, messages are saved as drafts and you send them yourself.

  • Online payments

    Optional connection

Connect a payment service so customers can pay online. Until then, you record payments by hand as money arrives.

  • Calendar

    Built in

Handlark has its own calendar for scheduled jobs.

  • CSV import and export

    Built in

Bring in a customer list, with a preview before anything is saved. Export your records, based on what your role can see.

  • Google or Outlook calendar sync

    Not available

Handlark does not sync with them.

  • A customer login area

    Not available

Customers open private links to individual quotes and invoices. There is no customer portal.

No provider is named here because none is switched on yet.

Honest about what happens

  • A message shows as sent only when your email service says so. If you sent it yourself, it says that.
  • If email or payments are not set up, Handlark tells you plainly. It never pretends something went out.
  • Invoices are locked once issued. Corrections are recorded, not overwritten.
  • Handlark is not accounting software and does not file tax returns.

No AI inside

Handlark's core product does not use an AI model. Quotes, totals, reminders and reports follow ordinary rules you can read and check.

Questions

Plain answers

Who is Handlark for?

Any business that does work for customers and gets paid for it, run by an owner or a small team. Cleaning, maintenance, repair, consultancy and creative work are examples you can pick when you set up, not limits. The workflow is the same for all of them.

Is Handlark a service or software?

Software. You use it yourself to run your own enquiries, quotes, jobs and invoices. Nobody at Handlark does the work for you or sends anything on your behalf.

Can I use it if I sell products as well?

Yes, for quoting and invoicing. Goods go on a quote or invoice as line items with a quantity and a price. Handlark does not track stock, manage inventory or run an online shop.

Is Handlark live yet?

Not yet. It is pre-launch, which is why this site shows no customer stories or results. Pricing and contact details are still to be confirmed.

Do I need to connect email or payments to use it?

No. Everything works without them. Without email, Handlark saves your messages as drafts and you send them yourself. Without a payment service, you record payments by hand when money arrives. Handlark always shows which of these is the case.

Does Handlark send my quotes and invoices?

Only when you have connected an email service. Until then, it saves the message and shows it as not sent. If you send a document yourself, you can mark it as sent, and Handlark records that you did it, not that it was delivered.

Can my customers pay online?

Only once you connect a payment service. Online payments are not set up by default. Until then your invoice shows how to pay you and you record payments yourself.

Does it use AI?

No. The core product uses no AI model. It follows ordinary rules for totals, reminders and reports.

Does it sync with my calendar?

No. Handlark has its own calendar. It does not sync with Google Calendar or Outlook.

Is it accounting software?

No. Handlark helps you quote, schedule, invoice and track payments. It does not replace your accountant or bookkeeping, and it does not handle tax filing. Tax rates and labels are settings you control.

Can I change an invoice after I send it?

Not directly. An issued invoice is locked so the record stays reliable. To correct it, void it or issue a credit note. Both are kept in the history.

Does it work with more than one currency?

Yes. Each document has its own currency. Reports show each currency separately. Handlark does not convert or add them together.

Who can see my business's records?

Only people you invite to your business, and what they see depends on their role: Owner, Manager, Team member or Viewer. Other businesses on Handlark cannot see your records.

Can I take my data with me?

You can export your records to CSV, based on what your role can see.
