The workflow

One job, one connected record

Each step hands its details to the next, so nothing is lost between them. Here is the whole chain.

  1. Step 1: Enquiry

A request comes in. You see who asked, what they want and whether you have replied.

  2. Step 2: Customer

Their details are saved once. Everything you do for them is kept in one place.

  3. Step 3: Quote

Build a quote from the services and goods you have saved. Handlark calculates the totals and tax.

  4. Step 4: Approval

Your customer opens a private link and accepts or declines. You see the answer straight away.

  5. Step 5: Job

An accepted quote becomes one job. Give it a date and someone to do it.

  6. Step 6: Completed work

Tick off the checklist and mark the job complete.

  7. Step 7: Invoice

Create an invoice from the finished job. Once issued, it is locked, so the record stays reliable.

  8. Step 8: Payment

Record payments as they arrive, including part payments. You always see what is still owed.

  9. Step 9: Follow-up

Anything waiting on you or your customer appears in one list, so it gets done.

Each step carries the details forward. You do not type the same thing twice.

In more depth

What each part does

Overview

Start each day knowing what needs you

Your overview shows what is waiting: enquiries to answer, quotes to chase, jobs today and invoices due. Each figure opens the records behind it.

  • Every card links to the matching records
  • Each figure explains how it is counted
  • Money billed and money collected are kept apart

Enquiries

Never lose track of a request

Record every enquiry, wherever it came from. See which ones are new, which you have answered and which became work.

  • Add enquiries by hand or take them from a form on your site
  • Move each one from new to won or lost
  • Turn an enquiry into a quote without retyping

Customers

Everything about a customer in one place

Each customer keeps their enquiries, quotes, jobs, invoices, payments and messages together, in the order they happened.

  • Warnings for possible duplicates
  • Import a list you already have, and check it before anything is saved
  • Notes your customers never see

Quotes

Send a clear quote, get a clear answer

Build quotes from what you sell. Handlark works out discounts and tax, and your customer accepts or declines from a private link.

  • Save the services and goods you sell, with prices, and reuse them
  • Revise a quote and the old version is kept
  • Download a quote as a PDF

Jobs

From yes to done

An accepted quote becomes a job. Schedule it, assign it, add a checklist and track it through to completion.

  • One accepted quote creates one job, never two
  • Checklists for each job
  • List, board and calendar views

Calendar

See the week at a glance

Scheduled jobs sit on a calendar in your business's time zone. Spot clashes before they become a problem.

  • Times shown in your business's time zone
  • Warning when two jobs overlap for one person
  • Handlark's own calendar. It does not sync with Google or Outlook calendars

Invoices

Bill accurately, correct honestly

Create an invoice from a finished job. Once issued, it is locked. If something changes, void it or issue a credit note, and the history stays intact.

  • Part payments and refunds recorded as they happen
  • Credit notes and void invoices
  • Download invoices as PDFs

Follow-up

Chase what matters, in one list

Enquiries waiting for a reply, quotes waiting for a decision, jobs coming up and unpaid invoices all appear in one list.

  • Edit the message templates and approve each one
  • Email sending only when you connect an email service
  • WhatsApp opens with a message filled in. You press send
  • Optional reminder rules you switch on after reviewing them

Reports

Numbers you can check

Simple reports on conversion, acceptance, completed work, invoiced totals, money collected and unpaid invoices by age. Each one states exactly how it is counted.

  • Choose your dates
  • Different currencies are shown separately, never added together
  • Export to CSV, based on what your role can see
